Delivery review policy

A defined path for documented delivery discrepancies.

Confirmed delivery starts a seven-day window for reporting qualifying condition issues that materially differ from the listing or sale record. This is an evidence-based policy workflow, not a general change-of-mind return.

Policy scope

Start with the type of issue.

The review is designed for material, documented differences between the delivered asset and the transaction record. Disclosed used-asset condition and buyer preference are handled under the sale terms.

Potentially within scope

Documented material discrepancy

Submit the issue for review when the delivered condition or records materially differ from what was represented in the listing, invoice, or written confirmation.

  • Undisclosed major condition difference
  • VIN, HIN, serial, or title document mismatch
  • Delivery damage documented at arrival
  • Included document missing from the handoff
Outside the policy path

Preference or disclosed condition

Repossessed assets are used auction lots. Disclosed defects, normal wear, preference changes, late submissions, and altered condition are not treated as undisclosed discrepancies.

  • Wear already shown or described
  • Cosmetic preference after delivery
  • Submission after the seven-day window
  • Unauthorized repair, modification, or continued use
Review workflow

Four steps from delivery record to resolution.

Preserve the asset and evidence while the review team compares your submission against the original transaction file.

  1. 01 Buyer Confirm and document delivery

Record the delivery date and time. Photograph the asset before use, repair, cleaning, or modification if you see a material issue.

  2. 02 Buyer Submit the discrepancy

Contact the team within seven days with the lot or invoice number, delivery record, description, and supporting files.

  3. 03 Review team Compare the records

The team evaluates the listing, available source file, invoice, carrier record, your evidence, and the applicable sale terms.

  4. 04 Review team Issue next steps

We communicate the required inspection, document request, repair review, return instruction, or other resolution under the sale terms.

Evidence file

Send a complete first submission.

A clear file helps the team identify the transaction, establish the deadline, compare the condition, and determine the next action.

01

Transaction identity

Lot code, invoice number, and buyer name.

Connects the request to the original sale file
02

Delivery proof

Delivery date, time, carrier or handoff record.

Establishes when the seven-day window began
03

Condition evidence

Clear photos, video, or independent inspection notes.

Shows the reported condition before alteration
04

Written discrepancy

What differs and where it appeared in the listing or documents.

Defines the exact statement or record to compare
Preserve the condition while review is open.

If the issue may be material, stop using the asset and contact us before repair, modification, disassembly, or disposal of relevant parts.

Policy questions

Clarify the deadline before it passes.

Contact the review team as soon as you identify a possible material discrepancy. Verified buyers can also use the designated sales assistant connected to the transaction.

01When does the seven-day clock start?
The window starts when delivery is confirmed through the carrier record, signed handoff paperwork, or another delivery confirmation accepted by our team.
02What happens after I submit?
The review team checks completeness, compares your evidence with the transaction file, and contacts you with any additional record or inspection requirement.
03Can I keep using or repair the asset?
If you believe there is a material issue, stop use and contact us first. Continued use, modification, or unauthorized repair can affect the available review path.
04Does every request result in a return or refund?
No. The available outcome depends on the evidence, the nature of the discrepancy, the transaction record, and the applicable sale terms.
Time-sensitive request

Document the issue and contact the review team within seven days.

Include the transaction identity, delivery proof, condition evidence, and a specific written discrepancy.
